Mural Routes is looking for someone who believes in community building, supporting artists, and relationship building to join our team as a Program + Project Coordinator. We are looking for someone who is positive, thoughtful, detail-oriented and collaborative.

The Mural Routes team is currently working remotely with plans to implement a hybrid working model in 2024. We run online and onsite programs and projects which require staff’s in-person presence at locations across the city of Toronto and the GTA.

The Program + Project Coordinator’s 37.5-hour workweek is generally Monday to Friday, 9:30am-5pm. They are required to attend board meetings and special events on evenings and weekends as project and program delivery requires.

This position offers a health benefits package and vacation time starting at two (2) weeks plus a closure over the December holidays.

JOB DESCRIPTION
The Program + Project Coordinator is responsible for coordinating Mural Routes’ various programs and projects, including community arts programs, professional development programs, our National Mural Symposium, mural projects, and advocacy projects.

The Program + Project Coordinator role is ideal for someone looking to grow professionally in the sector. We are committed to building capacity and to increasing knowledge for staff.

Each week will look completely different – during mural painting season (May-October) you will usually be onsite supporting artists during project production. In the fall and winter, you will be coordinating virtual and in-person program delivery. Some days will be dedicated to program and project planning, some other days you will support with grant writing and fundraising. On average, one day a week will be dedicated to marketing and promoting our programs/projects on social media.

The Program + Project Coordinator reports directly to the Managing Director, and works closely with the Tech Lead and Membership Coordinator and the Canada Summer Jobs employees. The Program + Project Coordinator collaborates regularly with third party contractors who further contribute to program + project delivery such as Graphic Designer or independent project managers and program assistants.

RESPONSIBILITIES
Program + Project Delivery

  • Implement programs + projects as planned, ensuring these are delivered on schedule and within scope.
  • Track program + project registrations and communicate with participants/registrants as needed in a professional, polite and positive manner.
  • Engage with participants/registrants during program + project delivery.
  • Prepare spaces, including the allocation of equipment and set-up of furniture, and assist with space clean-up.
  • Collaborate with the Managing Director in conceptualizing and developing programs + projects.
  • Manage inventory including coordinating, preparing and transporting materials for programs + projects. Keep track of stock and storage, and place materials orders as needed.
  • Recruit and coordinate volunteers when needed.
  • Collect and file details and data upon program/project completion.
  • Ensure a welcoming and accessible atmosphere at in-person and online events, including delivery of opening remarks as needed.

Program + Project Evaluation & Reporting

  • Design and develop evaluation plans in collaboration with the Managing Director.
  • Create and circulate surveys.
  • Collect, store, track, and analyse data and feedback.
  • Write evaluation reports.
  • Arrange for professional photo/video documentation of programs + projects, and collect participant testimonials.
  • Prepare program + project reports.

Program + Project Promotion & Outreach

  • Write program + project descriptions for distribution via newsletter, website and social media.
  • Create program + project promotional copy for social media, including program + project updates.
  • Write and post media releases.
  • Work with Managing Director to ensure cohesive communications and branding of Mural Routes.
  • Develop and implement community outreach plans in collaboration with the Managing Director.

Communications

  • Maintain regular communication with staff and Advisory Team.
  • Communicate effectively with program participants, community members and other stakeholders and respond in a timely, clear and respectful manner.
  • Respond to program + project inquiries via email and phone and relay accurate information, directing inquiries to appropriate staff as needed.
  • Communicate with partners, funders, sponsors, donors and other stakeholders in a professional, polite and positive manner.

Other

  • Support revenue generation by assisting with grant writing, program + project sponsorship, and fundraising when required.
  • Attend events, and build enduring, meaningful relationships with other arts/culture organizations, our larger community, and stakeholders.
  • Participate in visioning, strategic planning and capacity building initiatives

QUALIFICATIONS
Necessary Skills + Experience

  • 3+ years’ experience with position responsibilities.
  • Ability to coordinate and deliver on administrative details for programs + projects.
  • Excellent interpersonal skills, including the ability to communicate clearly and professionally verbally and in writing, and to lead, and show tact and diplomacy when necessary.
  • Strong administrative, organizational, prioritization and time management skills.
  • Excellent people management skills, including the ability to recruit, motivate, and develop a team of volunteers.
  • Ability to follow procedures, protocols, and policies with an acute attention to detail, committed toward working to high standards, and an ability to introduce improvement where a need has been identified.
  • Ability to work collaboratively with a team.
  • Proficient in Google Suite.

Bonus skills + Attributes

  • Post-secondary degree in arts administration & management.
  • Experience with budget management.
  • Ability to adapt to working with various online platforms and software, including but not limited to project management software (Asana), word processing, spreadsheets, communications software (Slack), email and online forms.
  • Knowledge of social media management platforms, web and mobile applications for content creation (WordPress).
  • Experience in another arts organization strongly preferred.
  • Desire to pursue a career in the arts.
  • Entrepreneurial and business skills.
  • Access to a vehicle.

WORKING CONDITIONS

  • Some heavy lifting required, set-up and movement of furniture.
  • Some working outdoors required, mostly during mural production season.
